Editing or archiving a contact record

This article describes the different ways you can manage your contacts and provides instructions on how to edit, archive, and restore contacts. 

Contacts are an important aspect of your Emma account and we will often refer to them as a whole by calling them your audience. Regardless of how you acquire them, you'll need to manage your contacts once you have added them to your account.
 

How to edit a contact record

1. Open the Audience section in your account, and select Contacts on the lefthand menu.
2. On the Contacts page, use the search field to find the contact's email address by typing it in.
3. Once you find the right address, click on the contact's email to view their contact record, then click Edit.
4. Edit the details you desire, when finished, click Save.
 

How to customize your Contacts page view

On the Contacts page, you can select which of your contact fields are shown at a glance by changing the column display. Here's how: 

1. Open the Audience section in your account, and select Contacts on the lefthand menu.
2. On the Contacts page, click on the Column Display button. 
3. A list of your contact fields will pop up and you can check the box next to the fields you would like to display in your view. 

4. When finished making your selections, click Save.

 

How to add or remove a contact from a group

Groups keep your contacts organized, and can also be useful for sending more targeted content. Contacts can also be added to more than one group in your audience. For example, if you send to three groups (at the same time) and Bill is in all three, we'll make sure he only gets one email campaign.

Please note: If you don't add a new contact to a group, they'll be left floating around "in limbo". They will still be added to your audience with an Active status, but it may be difficult to locate them when you're choosing recipients for a mailing and they can easily go unnoticed.

When editing a contact record, you can add or remove a contact from a single group or from all groups.
Here's how:

1. Open the Audience section in your account, and select Contacts on the lefthand menu.
2. On the Contacts page, use the search field to find the contact's email address by typing it in.
3. Once you find the right address, click on the contact's email to view their contact record, then click Edit.
4. In the Groups section on the right side, you can choose to add or remove the contact from any group by checking or unchecking the box next to the group name. You can also create a new group to add the contact to by clicking on the Create group button.


5. When finished making your selections, click Save.

Opt-out email addresses 

It’s generally best to leave all opt-out addresses in your account, so don't archive them. Emma will always remember that they’ve opted out, which means that even if you delete someone and re-import them, their status will remain as opt-out.

How to archive a contact

  1. Open the Audience section in your account, and select Contacts on the lefthand menu.
  2. On the Contacts page, use the search field to find the contact's email address by typing it in. Additionally, you can archive multiple contacts by selecting the checkbox next to more than one email address. 
  3. Click the down arrow to the far right of their email address, then select Archive. Or, click the Actions menu above the email addresses and select Archive.
  4. A window will pop up for you to confirm, click on Archive to complete the process.

How to archive contacts within a group

  1. Open the Audience section in your account, and select Groups on the lefthand menu.
  2. Click on the desired group name to bring up the list of contacts in that group.
  3. Click the Actions menu above the email addresses and select Archive All from the dropdown menu.
  4. Read the pop-up modal carefully, then click Archive to proceed

 

How to restore an archived contact

It's not possible to restore a deleted contact, but you can restore archived contacts.

  1. Click on your name at the top right of your account, then select Archived items from the dropdown menu.
  2. Select the Contacts tab at the top of the page.
  3. Tick the checkbox next to the contact you want to restore.
  4. Click the down arrow to the far right of the email address, then select Restore. Or, click the Actions menu above the email addresses and select Restore.

5. Read the pop-up modal carefully, then click I understand to complete the action.
